JOB DESCRIPTION
Job Title: Project Secretary
Component: Project Management and Institution Building
Post Holder Reports to:European Administration, Finance and Procurement Specialist and Chinese Administration and Finance Officer (jointly)
Reporting to Post Holder:None
Overall Purpose of the Job:
The Project Secretary will provide general administrative and secretarial support to the PMO in Beijing.
Main Duties:
1.Daily scheduling and PMO diary management, including organising internal and external meetings and coordinating bookings, refreshments and catering.
2.Meeting and greeting visitors at the PMO Beijing offices.
3.Ensuring that PMO staff and TA up-date the PMO locator board.
4.Organising travel itineraries and purchasing tickets for PMO staff (not TA).
5.Sorting, archiving, distributing PMO documents and post, and registering borrowed documents (including TA reports).
6.Typing business correspondence for the PMO in English and Chinese.
7.Maintain the PMO electronic and manual filing systems.
8.Networking and maintaining a contacts database for the PMO.
9.General secretariat support duties for PMO meetings (i.e. photocopying, shredding, faxing, maintaining distribution lists).
10.Collation of PMO coordination meeting papers and preparation of minutes for the same meeting (in both English and Chinese) for submission to Co-Directors for signing.
11.Organise maintenance of office machines such as photocopy and fax machines through suppliers, and technicians.
12.Maintain office supplies such as stationery and photocopy papers, and arrange for printing of project documents as required.
13.Ensure that there are regular safety checks, including fire prevention, in the office.
14.Other ad hoc and temporary tasks as required by the PMO administrators.
Qualifications, Skills and Experience:
-Bachelors Degree in English, Business Management, or other relevant subject. Those who have been trained in secretarial and administrative skills would be preferred.
-Need to be resilient, determined and committed to working in a multicultural and multi institutional setting.
-Ability to work independently when required, to show initiative when problem solving, and to complete tasks under strict deadlines.
-English language with good verbal and written skills.
-Good computer skills (Word, Excel, PowerPoint).
Duration:
The Project Secretary will be offered a contract for 12 months, with possibility of a further 12 months extension. There will be a 3 month probation period. This position is expected to start on 23 June 2008.
